POSITION: Administrative Assistant III

LOCATION: Edgewood, MD

STATUS: Active

TRAVEL: Negligible

CLEARANCE: Active Secret Clearance required

DESCRIPTION:

 

  • Serve as an Access Control Point, responsible for the entry requirements, physical security, and force protection measures required to grant access to personnel entering the facilities.
  • Screen all required documentation prior to issuance of visitor badges for entrance to the facility.
  • Conduct a walk-through and secure all facilities’ perimeter doors at the end of duty hours.
  • Identify potential security risks and implement corresponding mitigation strategies.
  • Report all security violations, safety concerns, and facilities incidents to the Government lead.
  • Assist with evacuation of personnel during emergencies.
  • Cover front desk requirements as needed.
  • Provide clerical and administrative support, including but not limited to the following:
  • Receiving and screening telephone calls and visitors
  • Reserving and setting up (e.g., reconfigure tables, provide materials and equipment, etc.) conference rooms
  • Reserving video teleconference and teleconference lines and ensuring connectivity
  • Signing for packages and ensuring proper delivery to the appropriate personnel
  • Preparing furniture and assisting during office movements
  • Compiling supply orders and submitting them to the Government lead for review and approval
  • Storing and issuing supplie
  • Completing service orders for routine maintenance and repairs in accordance with applicable policies and procedures
    • Drive Government vehicles as needed to complete job duties.
    • Successfully complete all training related to the assigned position as needed.
    • Support the HQ JPEO-CBD Facilities Manager with daily operational tasks at all JPEO-CBD facilities, supporting facilities’ E5101 and E2800 business hours of 0700-1730.
    • Perform facilities duties and provide building maintenance (i.e., ensure appropriate repair of broken facilities or equipment (e.g., HVAC, bathrooms, etc.)) as needed in all JPEO-CBD owned and operated buildings around the Edgewood Area of APG in order to support JPEO-CBD mission essential functions.
  • Serve as an Administrative Assistant/Access Control Point, responsible for the entry requirements, physical security, and force protection measures required to grant access to personnel entering the JPEO-CBD facilities.
  • Identify potential security risks and implement corresponding mitigation strategies.
  • Report all security violations, safety concerns, and facilities incidents to the Government lead.
  • Assist with evacuation of personnel during emergencies.
  • Provide clerical and administrative support, including but not limited to the following:
  • Compiling a daily accountability log
  • Receiving and screening telephone calls and visitors
  • Reserving and setting up (e.g., reconfigure tables, provide materials and equipment, etc.) conference rooms
  • Reserving video teleconference and teleconference lines and ensuring connectivity
  • Signing for packages from FedEx, UPS, and DHL, and ensuring proper delivery to the appropriate personnel
  • Managing destruction procedures for unclassified and For Official Use Only (FOUO) working papers for all JPEO-CBD facility support staff shortages
  • Preparing furniture and assisting during office movements
  • Compiling supply orders requested from Government personnel and submitting them to the Government lead for review and approval
  • Storing and issuing supplies
  • Completing service orders for routine maintenance and repairs in accordance with the applicable JPEO-CBD policies and procedures
  • Respond to scheduled and unscheduled (i.e., emergency) events in accordance with the “SSF Mission Support SOP” on a voluntary basis.
  • Successfully complete all training related to the assigned position (e.g., OSHA training, mandatory online APG/Edgewood driver’s training course, other General Services Administration (GSA) facilities training, etc.) as needed.
  • Input DoD traveler’s information into the APACS.

EDUCATION / EXPERIENCE REQUIRED:

  • Standard Requirement: The contractor shall possess a Bachelor’s degree in Business Management or a related discipline, as well as five (5) years of general experience and three (3) years of relevant experience.
  • Alternate/Tradeoff Requirement: The contractor shall possess an Associate’s degree or professional certificate in Business Management or a related discipline, as well as seven (7) years of general experience and five (5) years of relevant experience.
  • Possess excellent communication skills, both orally and in writing.
  • Possess a valid state Driver’s License.
  • Knowledge of the Microsoft Office suite of software, with specific experience in effective use of Outlook, PowerPoint, Excel, and Word.
  • Possess knowledge in the practices of safeguarding, destruction, and proper handling of classified information.
